TERMS & CONDITIONS

The general booking Terms & Conditions for Villa Capung are outlined below. The complete Terms and Conditions are sent to Guests at time of Booking Request along with the Booking Invoice.

Bali Luxury Villas (PT. Luxury Bali Villas) is the appointed Management & Marketing company for Villa Capung & will handle all the booking procedures with the Guest on behalf of Owner.

RESERVATION REQUEST

Simply fill out our reservation inquiry form and we will reply to you within 24 hours of your request. Please note that all your data will be handled with strict confidentiality and used for no other purpose whatsoever. Bookings can only be guaranteed and are only confirmed once a deposit has been received. On payment of this deposit Guest will be deemed to have accepted the full Villa Terms & Conditions. BLV can hold Guest written reservation request for 5 working days before receiving payment. Please note that reservations are handled on first come basis.

RATES

The Villa daily rental rates are quoted in United States Dollars (USD). Rates quoted maybe subject to change.

SEASONAL DATES

Villa rental rates are quoted according to "Peak, High and Low" season rates. For exact low, high and peak season periods of Villa Capung, please refer to the Rates Pages.

NUMBER OF GUESTS

Villa Capung has a guest capacity to host a maximum number of 6 adults & 2 children. If Guest wishes to have additional guests, Guest needs to inform BLV prior to receipt of deposit payment to acquire the Villa Owner permission.

MINIMUM STAY

There a minimum stay period that applies in the various seasons. Please note there is a minimum stay of 2 nights in low season, 5 nights in high season and 7 nights in peak season.

PAYMENT METHODS

We accept payments by Visa & MasterCard, American Express

creditcard

or by US Dollar Bank Wire Transfers. For Bank Wire Transfer payments we require the full rental charge amount to be received in our Bank Account. Any bank wire transfer fees are to be applied to senders bank account including correspondent bank charges. Please send the copy of your Bank Wire Transfer payment document via email to billing@baliluxuryvillas.com.

Credit Card

Payment by Credit Card Debit Authorization is available by Visa, MasterCard and American Express. A Credit Card surcharge of 2% applies for Visa and MasterCard payments and 3.4% for AMEX payments. Due to the currency fluctuation we further add a 100 Rupiah to one US Dollar for all transactions. For all Credit Card Transactions we require a photocopy of your Credit Card, both front and back with the Credit card numbers printed clearly, a photocopy of your passport picture page, together with a signed Debit Authorization Form, returned by facsimile to enable us to complete a Credit Card transaction. Due to national law, settlement by credit card is charged in local currency. Bali Luxury Villas takes no responsibility for subsequent exchange rates used by credit card companies after guests' departure. Credit card charges are subject to additional currency conversions by banks or credit card companies, which are not within Bali Luxury Villas' control and may impact the amount charged to a guest's credit card.

LAST MINUTE BOOKING

In the event of a last minute booking made in Bali, payment is to be pre-arranged through our office and we can only accept payment by Credit Card for bookings 1 week prior to arrival date. Full payment must be made prior to arrival

AIRPORT TRANSFERS

The driver will meet Guest at the airport at Bali's International Airport Ngurah Rai. He will await you outside the arrival door straight after Guests have passed through customs. The driver will hold up a sign with Guest booking name and he will assist Guest with luggage and will escort Guest to the vacation villa

FLIGHT INFORMATION

We ask that all Guests fill out BLV's Guest Registration Form and return to our Bali Luxury Villas Office prior to final payment either by email or facsimile. BLV requires your flight details for both arrivals and departures to be able to organize all airport transfers.

CAR RENTALS

Our office staff will be happy to arrange to provide car rentals for guests. We liaise with several reputable car rental operators on the island, all offer English speaking drivers. All car arrangements are made for you with no profit us and therefore we can offer you very competitive rental rates. For high season period we recommend that you book your car well in advance. Most rental cars to not have seat belts in the back passenger seats.

Booking Procedures & Terms

 

Booking Invoice

Upon receipt of a booking request, BLV will issue and email on behalf of the OWNERS a Booking Invoice to the Guest indicating the Villa Name, the Name of the Guest, rental period, the total number of persons in Guest's party, the services included, and the total Rental amount including applicable taxes and service charges. The Booking Invoice is generally issued by PT Luxury Bali Villas or BLV Luxury Villas Ltd, and contains the specific and only valid version of these Booking Terms & Conditions which supersedes any other version. BLV's email to the GUEST containing the Booking Invoice is sent from the domain "@baliluxuryvillas.com" and is signed and authenticated by baliluxuryvillas.com's public DKIM cryptographic key (http://www.dkim.org/).

Booking Confirmation Deposit

To confirm the Villa Booking the GUEST must make a Booking Deposit to BLV within 5 working days of the Booking Invoice issue date. If the below booking deposit payments are not received in time, BLV will void the booking request. The following booking deposit amount must be received by BLV:

  • For rentals where the Arrival Date is 61 days or more after the Booking Invoice issue date, a Booking Deposit of 50% of the rental amount must be paid.
  • For rentals where the Arrival Date is 60 days or less after the Booking Invoice issue date, the total rental amount (100%) must be paid as a Booking Deposit. The Payment of the Booking Deposit constitutes the acceptance by the GUEST of the Booking Terms & Conditions.
Balance Payment

Where a 50% deposit applies to the booking, the GUEST must pay the remaining 50% balance of the rental amount not less than 60 days before the Arrival Date stated on the booking invoice.

Booking Acceptance

On receipt of the Booking Deposit, BLV will email a Booking Deposit Receipt to the GUEST or his AGENT on behalf of the OWNERS. This is the formal acceptance by the OWNERS and BLV of these Booking Terms and Conditions.

Cancellation

A cancellation fee equal to 50% of the total rental amount will be charged on any full or partial booking cancellations made by the GUEST 61 days or more prior to the Arrival Date. If the GUEST's cancellation is made within 60 days of the Arrival Date, a cancellation fee equal to 100% of the total rental amount will be charged. If payments are not received on or before the due dates as required herein, the GUEST will be deemed to have cancelled the booking, in which case the Rental Contract will be thereby terminated without any further notice required. Please note our recommendation below to take out a travel insurance policy that would cover the GUEST in case of a cancellation due to personal unexpected circumstances

BOOKING AMENDMENTS

Once a Booking Confirmation Deposit has been received, a fee of USD 100 will apply to each amendment made upon GUEST's Request. Please note that reducing the Rental Period is not an amendment but a partial cancellation. BLV and the OWNERS will do their best to accommodate any reasonable amendment, but the GUEST should be aware that some amendments might not be possible.

CHECK-OUT TIME

Rental Check-in time is 2:00 pm and Check-out time is 11:00 am. BLV will work with the OWNERS to try to accommodate the GUEST's actual arrival and departure times, subject to availability. A surcharge of 50% of the daily rate is applied for check-out from 11:00 am until 6:00 pm and full one daily rate if check-out after 6:00 pm. This surcharge will be included on the Booking Invoice. For a last minute late check-out request, if such a request can be satisfied, the payment can be settled by credit card or cash at time of departure

GUEST RESPONSIBILITIES

Guest are responsible for any damage to the villa property or for any extra charges incurred. We will please ask you to settle all outstanding payments or damage repayment before departure.

GUEST REGISTRATION

As part of the local requirements, all villa and hotel guests in Indonesia need to be registered with the local authorities within 24 hours of arrival at their destination. This is a very simple procedure and involves the following:

  • The Villa Staff will take a photocopy of each guest's passport shortly after arrival at the villa.
  • A registration form will need to be filled out & signed by each guest
  • These papers will then be taken to the immediate village registration office
INSURANCE

We strongly recommend that you take out a comprehensive insurance to protect you and all those that accompanying you for the full time of your visit against illness, injury, death, loss of baggage and personal items, cancellations and other travel contingencies. We also strongly recommend a health insurance that covers medical evacuation for emergencies.

RESPONSIBILITY

Please be advised that Indonesian laws can be much more severe than those of other jurisdictions for certain violations of the law, particularly in regard to illegal drugs, illegal substances or prostitution. The Death Penalty is enforceable for drug related crimes. Any guests or their visitors using or possessing illegal drugs, illegal substances or allowing prostitution on the rental property, will be removed immediately from the premises and the local authorities will be contacted. Any rent money, including deposits will be forfeited. Please understand these strict policies are for the protection of the guests and the property owners and managers. Indonesia is very strict in enforcing these policies and the Indonesian prison environment is quite different from other jurisdictions. It is understood that the undersigned is responsible for the actions of their guests and for seeing that all guests occupying a rental property have read and will abide by this rental agreement and the rules and policies set forth in the property rental's brochure or on its web site.
